- Company number: [COMPANY NUMBER, or "Sole trader" if not a limited company]
- Registered address: [REGISTERED ADDRESS]
- Contact email: [CONTACT EMAIL]
2. Data we collect
When you send an enquiry through our contact form, we collect:
- Your name
- Email address
- Phone number (optional)
- Town or postcode (optional)
- Your dog's name and breed (optional)
- What you would like help with, and any details you share about your dog
- Your preferred way for us to get back to you, if you tell us
We do not collect special category data on purpose. Please avoid sharing sensitive personal information in the message box.
3. Lawful basis for processing
- Legitimate interests: to read and respond to your enquiry.
- Contract: where you book training or join the club, to arrange and deliver those services.
- Consent: for any marketing messages. We will only send these if you have explicitly agreed, and you can withdraw consent at any time.
4. How we use and store your data
We use your information to reply to your enquiry, arrange sessions, and provide the training or club activities you have asked for.
General enquiries are kept for 12 months from our last contact, or until you ask us to delete them, whichever is sooner. If you become a client, we keep records for as long as needed to provide our services and meet any legal or insurance obligations.
Your data is stored securely and is only accessed by Hound on Heart Dog Training and the processors listed below. We never sell your data.
5. Third-party processors
- Website hosting: [e.g. Cloudflare]
- Website analytics: Microsoft Clarity, only if you accept analytics cookies. It records how visitors use the site, such as clicks and scrolling, with form fields masked.
- CRM / form handling: [e.g. GoHighLevel], used to receive and manage enquiries.
- Social media: our footer links to our Instagram and Facebook profiles. If you follow those links, Meta's own privacy policy applies to your use of those sites.
Some processors may store data outside the UK. Where they do, appropriate safeguards (such as UK adequacy regulations or standard contractual clauses) are in place.
6. Marketing communications
We will only send you marketing, such as news about training or club events, if you have opted in. Every marketing message includes a simple way to unsubscribe, or you can email [CONTACT EMAIL] at any time. Replying to your enquiry about your own dog is not marketing.
7. Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Rectification of inaccurate or incomplete data
- Erasure of your data ("the right to be forgotten")
- Restrict how we process your data
- Object to processing based on legitimate interests or for marketing
- Data portability, where processing is based on consent or contract
- Withdraw consent at any time, where we rely on it
To use any of these rights, email [CONTACT EMAIL]. We will respond within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
